LOBBY & OPERATIONS

Five operator workflows. One product. The reception desk isn't the bottleneck.

Front desk. Plant gate. GSOC. Shift supervisor. Receiving dock. The contract goes through Corporate Security and IT, but the day-to-day buttons have to work, or the security controls get bypassed within a week.

WHAT CHANGES ON DAY ONE

Four outcomes the operator team feels in the first week.

Lines that move

Self-serve kiosk handles the routine. Reception handles the exceptions.

Multi-lingual built in

Visitor picks their language at first tap. No translation work at the desk.

Notifications that find the host

Slack, Teams, Webex, SMS, or the MyVisitly app. The host picks the channel.

Audit trail that holds together

Every check-in is a record, even when reception is slammed.

FIVE OPERATOR WORKFLOWS

Reception isn't the only role we built for.

The visitor flow touches different people at different sites: corporate front desks, plant gates, the GSOC, after-hours shifts, and the receiving dock. Each one operates the same product from a different vantage point.

Workflow 1

Front desk · corporate office

Greet, sign in, page the host, print the badge, hand back the ID. Move on to the next visitor. Translate when needed. Handle the VIP that just walked in unannounced.

What this protects

Watchlist screening, photo capture, ID validation, and NDA acceptance execute on every visitor because reception isn't tempted to skip steps to keep the line moving.

The flow
  • 1

    Visitor arrives

Picks language at first tap; sees the branded kiosk

  • 2

    Self-serve flow

Photo, ID scan, NDA, and badge, all in under 30 seconds

  • 3

    Host paged automatically

Slack, Teams, SMS, or the MyVisitly app, wherever the host already works

  • 4

    Reception handles exceptions

VIP fast-track, denied entry, or special escort via a 1-tap override

What Visitly enables
  • Multi-lingual kiosk so reception isn't the translator

  • Live presence dashboard showing who is where in real time

  • Multi-channel host paging so reception isn't the relay

  • Pre-registered visitors arrive with NDA, parking, and Wi-Fi already in their inbox

Workflow 2

Plant gate · industrial / regulated site

Verify ID. Check today's expected-visitor list. Run watchlist and citizenship for ITAR-restricted areas. Issue PPE if the visitor's going to a regulated zone. Escort or release.

What this protects

Citizenship gating, PPE attestation, and hazard acknowledgment all happen because the visitor doesn't feel friction and the guard isn't fighting noise.

The flow
  • 1

    Driver / visitor pulls up

Pre-registered crews flow through the kiosk on first scan

  • 2

    Identity check

Photo, government ID, watchlist, and citizenship give the guard a clean pass or fail in seconds

  • 3

    Zone gating

Color-coded badge prints with the zones the visitor is allowed

  • 4

    PPE attestation

Visitor confirms hard hat, safety glasses, and steel-toe per zone, only when relevant

What Visitly enables
  • Citizenship gating for ITAR-restricted areas

  • Per-zone PPE attestation and hazard acknowledgment

  • Configurable match handlers (block, escalate, or log silent) to cut false-positive fatigue

  • Tied to the PACS badge reader so the gate guard sees the same record the front office sees

Workflow 3

GSOC operator · multi-site security ops

Watch the live presence map across every site. Triage watchlist hits, escalations, and off-hours sign-ins. Coordinate response to incidents, physical and otherwise.

What this protects

Off-hours alerts and watchlist escalations get triaged in real time because the GSOC is seeing the signal, not drowning in noise.

The flow
  • 1

    Live presence map

Every site, every building, every visitor in one console

  • 2

    Auto-escalation on watchlist hit

Configurable per match category: block, escalate, or log silent

  • 3

    Off-hours anomaly alert

After-hours sign-in surfaces to the GSOC automatically, with per-site threat-level configuration

  • 4

    Coordinated incident response

One-tap lockdown, mass broadcast, and evacuation roll call across every site

What Visitly enables
  • Real-time presence map across every site, every building

  • Watchlist escalations auto-page the GSOC, configurable per match

  • Off-hours access alerts and per-site threat-level configuration

  • Emergency-notification integrations with AlertMedia, Everbridge, and InformaCast

Workflow 4

Shift supervisor · 24/7 operations

Cover the unmanned reception window. Approve borderline visitors. Brief the next shift. Handle the contractor convoy that arrives at 5:30am.

What this protects

Borderline visitors get the approval workflow run on them because the supervisor can approve from their phone instead of bypassing the system entirely.

The flow
  • 1

    Off-hours kiosk operates the same

No 'reception is closed' UX; the kiosk plus remote approval flow handles it

  • 2

    Borderline visitor

    Multi-step approval routes to on-call supervisor's mobile

  • 3

    Shift handoff

Live presence and audit log show the next shift who's still on premises

  • 4

    Contractor convoy

Pre-registered crew flows through with no front-desk relay needed

What Visitly enables
  • Off-hours kiosk operates the same as staffed hours

  • Multi-step approval workflow for borderline arrivals

  • Recurring visit scheduling for contractor crews

  • Per-site threat-level configuration that raises the screening floor when needed

Workflow 5

Receiving / delivery dock

Sign in the courier or delivery driver. Route the package to the right recipient. Track what came in, when, and from whom without confusing the driver with a visitor flow.

What this protects

Every delivery is photographed, signed, and tied to a recipient because the driver doesn't get routed through a visitor flow that doesn't fit.

The flow
  • 1

    Delivery driver arrives

Separate flow, not the visitor kiosk

  • 2

    Package logged

Recipient routing via Slack, Teams, or email notification

  • 3

    Chain of custody recorded

Photo, signature, and timestamp on every delivery

  • 4

    Recipient acknowledgment

Package collected and logged against the visit record

What Visitly enables
  • Dedicated delivery and drop-off flow separate from visitor flow

  • Recipient routing notifications via Slack, Teams, or email

  • Full Mailroom / Deliveries module with chain of custody per package

  • Per-site receiving policies with different rules for the HQ lobby and the back dock

VISITOR EXPERIENCE

The other side of the same product. What visitors, hosts, and contractors see.

The Lobby Experience page covers the six audiences who touch the product daily: visitors, returning visitors, contractors, hosts, the front desk, and the gate guard. The wedge: ergonomic security gets followed; painful security gets bypassed.
